Goal: Turn marketing leads into new patients by working the CRM from hottest to coldest every shift.

We’ve discovered the reason why most practices struggle with marketing is that they rely on a patchwork of disconnected services. One person runs their ads. Another builds their website. Someone else posts on social media. The problem? None of it works together, and it shows.
Leads come in, but they’re inconsistent. Patients fall through the cracks. Your team spends hours following up, but the results are unpredictable. Worst of all, it feels like you’re always guessing.

How We Help Chiropractors
Step 1 – Conversations
“Don’t leave anyone who inquired with you hanging.”
Tab: Conversations → Unread
Objective: No one who reaches out gets ignored.
Do this:
- Open Conversations on the ChiroBoost / Compai Media Dashboard.
- Work all UNREAD threads.
- For each:
- Read the thread + notes.
- Call first.
- If no answer → Voicemail + Text.
- Add a note (what they said, what you did, next step).
- Make sure it is marked as read.
Remember:
- Automated follow-up does NOT clear unread. So look into the conversation to check for latest messaging
- Notes can be messy — this is for your brain, not English class.
- Human voice + context = better patient experience.
Step 2 – Calendar
“These are requests, not confirmed appointments. You are in control of the schedule.”
Tab: Calendars → Appointment List View
Objective: Turn appointment requests into real, confirmed visits.
Do this:
- Open Appointment List View.
- Work:
- Upcoming requests first.
- Then recent past requests
- For each:
- Check notes and messages.
- Call to confirm or adjust time.
- If no answer → voicemail + text.
- Update status (Confirmed / No-show / Cancelled).
- Leave a note.
- Move on to the next one.
Remember:
- These are appointment requests, not real appointments.
- You control when they truly go on the schedule.
Step 3 – Step 3 List
“These are people who raised their hand but didn’t pick a time… yet.”
Tab: Contacts → “Step 3 of the CBP Cha-Cha-Cha”
Objective: Proactively reach out to hot new leads who haven’t picked a time.
This list shows:
- Leads created in the last 30 days,
- Status = Open,
- Stage = New Lead.
Do this:
- Click the first contact.
- For each lead:
- Check notes.
- Call → voicemail → text.
- Leave note.
- Use the Next arrow to move to the next lead.
Mindset:
- Keep reaching out until they say Yes, No, or Stop.
- You’re not bothering them—they filled out the form and asked you to call.
⏱ DAILY RHYTHM
Minimum:
✅ Cha-Cha-Cha 3 times per day:
- Morning
- Mid-shift / specialty hours
- Before leaving
Do that consistently and you’re doing your job. Anything above that just boosts results.
